Six weeks is the sweet spot for a milestone birthday. Guests get time to save the date, and you get time to book food and music before good dates fill up. Plan for eight weeks in spring and fall, the busiest party seasons in San Antonio, and ten or more if many guests are flying in.
Less time can still work. A three week party is possible if you keep it simple: one food vendor, a playlist instead of a DJ and a bakery cake instead of a custom one. Anything shorter than that usually means compromising on the date or the space.
The two steps people skip most are the backup date and the photo plan. Both take five minutes and save real stress later.
| When | What to do | Why now |
|---|---|---|
| 6 weeks | Book the space, send a save the date | Good weekend dates go first |
| 5 weeks | Book food and music | Trucks and DJs fill up on Saturdays |
| 4 weeks | Order the cake, plan the moment | Bakers book two to three weeks out |
| 3 weeks | Send the real invite | Guests need the details |
| 2 weeks | Order decor and rentals, ask toast givers | Shipping and nerves both need time |
| 1 week | Confirm every vendor and helper | Catches mix-ups while you can fix them |
The space, the food and the music are the bookings that fill up. Lock those in the first two weeks, in that order. The space comes first because food trucks and DJs will ask for the address, the parking situation and the time window before they quote.
Most vendors hold a date only after a deposit. Until you pay it, assume the date is still open to someone else, and do not send invites for a space you have not actually booked.
Also check the guest of honor's calendar for work trips, school events and big games. A milestone party that lands on a Spurs playoff night or a graduation weekend will lose guests to other plans.

Send a save the date six weeks out, then a real invite three weeks out with the address, start time, end time and dress code. An end time keeps the night on schedule and tells guests how to plan rides. Ask for an RSVP about 10 days before the party, which is when most caterers want a final count.
Tip: Hold a backup date. Ask for a backup date when you book. If a storm, a family conflict or a vendor problem hits, you can move the party without starting over.
The last week is for confirming, not booking. Text every vendor the address, arrival time and your day-of contact. Give the final count to food. Assign jobs to helpers: one timekeeper, one photo person and two people for pack out. Charge a speaker, print a simple welcome sign and put the trash bags in your car.
