Most 20 to 40 guest showers in San Antonio run about $800 to $2,500 all in, based on typical 2026 ranges. Food is almost always the biggest line. The trick to keeping co hosts happy is to agree the number early and give each person a line they own.
| Item | Typical San Antonio range | Notes |
|---|---|---|
| Space | $0 to $600 | Home is free; hourly rentals vary by size and day |
| Food | $15 to $40 per guest | Taco bar or brunch spread on the low end, plated on the high end |
| Cake or desserts | $80 to $350 | A sheet cake plus cookies is the budget move |
| Drinks | $3 to $8 per guest | Juice, agua fresca, sparkling water, coffee |
| Decor and florals | $75 to $400 | Less in a room that is already styled |
| Invitations | $0 to $150 | Digital is free; printed with postage costs more |
| Favors and games | $40 to $200 | Optional; many hosts skip favors |
Weekend afternoons cost more almost everywhere. A Saturday at 11 is one of the most requested shower slots in town, so book it early or consider a Sunday.
Food takes 40 to 50 percent of most shower budgets. The space is often the second largest line, and decor shrinks or grows depending on how bare the room is. Hosts who rent a blank hall often spend as much on linens, backdrops and centerpieces as they saved on the rental.
Splitting one big total evenly sounds fair but causes friction when one person overspends. Give each host a line and a cap instead. The person who owns food books the caterer and pays them directly, and so on.
Tip: Agree the cap in writing. A short message like 'food cap $600, Ana owns it' avoids surprises later.
Hidden costs to watch. Delivery fees, cake cutting fees, rental pickup charges and tips add up. Budget about 10 percent on top for these. Hiring a TABC-certified bartender to serve drinks you bring also adds to the bill, so price it before promising mimosas.
Most rentals take payment when you book, with clear cancellation terms. Read them before you pay, and book the room before you put down deposits on food so your date is secure.
Tip: Ask what is included. Tables, chairs, a speaker or a counter for food can save you a rental order. Always ask before you pay a rental company for them.
Here is a realistic 30 guest baby shower on a Saturday afternoon, using typical 2026 San Antonio prices. A 4 hour rental, including setup and pack up, lands around $300 to $500 depending on the space. A taco bar caterer at about $18 per guest is $540, plus a $50 delivery fee. A half sheet cake and four dozen cookies from a local bakery run about $150. The drink station, with agua fresca, sparkling water and coffee, is about $120. Florals from a wholesale market or grocery store run about $100, digital invitations are free, and a simple game with prizes is about $40.
That totals roughly $1,300 to $1,500 before tips. Split by line between three co hosts, each person carries $400 to $600 and knows exactly what they own. Add the 10 percent buffer and you have a plan nobody will be surprised by.
Tip: Keep receipts in one place. Ask every host to drop receipt photos into the shared sheet the day they pay. Settling up takes five minutes instead of an evening of scrolling through texts.
