A 3 hour booking is the sweet spot for most showers: 45 minutes to set up, about 2 hours of party, and 15 to 30 minutes to pack up. Here is a run of show you can copy.

Sample shower timeline (3 hour booking)

  • 0:00: Hosts arrive. Set food, decor and the gift table.
  • 0:45: Guests arrive. Drinks (alcohol-free) and nibbles.
  • 1:15: Food is served at the long table.
  • 1:45: Activity or game, about 20 minutes.
  • 2:05: Gifts opened, with a friend writing down who gave what.
  • 2:30: Cake, group photo, thank yous.
  • 3:00: Pack up and booking ends.

Setup in 45 minutes

  1. Food table first, so the caterer can drop off.
  2. Gift table and card box near the entrance.
  3. Seating, with a special chair for the guest of honor.
  4. Decor and florals last, because they are the most flexible.
  5. Music on low before the first guest arrives.

Tip: Do a walk through. Stand at the door and look in like a guest. Can they see where to put gifts, where to get a drink and where to sit?

Arrivals

Guests trickle in over 15 to 20 minutes. Put a greeter at the door to take gifts, point to drinks and introduce people who do not know each other. A drink in hand within a minute of arriving sets the mood for the whole afternoon.

Food first, then everything else

Serve food about 30 minutes after the start time, once most guests are in. Hungry guests are restless, and opening gifts before eating is the most common reason a shower feels long. Ask the caterer to keep a second round of the most popular dish back for late arrivals.

Running one activity

Keep games to about 20 minutes. Have supplies ready on a tray, explain the rules once, and keep small prizes in a bag. One good activity beats three rushed ones, and it gives quieter guests a way to join in.

Speeding up gift opening

Gift opening is where showers drag. With 30 guests it can easily take 45 minutes. Some ways to keep it moving:

  • One helper hands gifts over, another writes down who gave what.
  • Open cards and gifts together, so nobody waits twice.
  • Skip reading every card aloud.
  • For 40 plus guests, consider opening gifts privately later and doing a thank you toast instead.

Seat the guest of honor where everyone can see, with good light for photos.

Photos that matter

  • The guest of honor arriving.
  • The food table before anyone eats.
  • A few candid shots of guests laughing.
  • The guest of honor with each family group.
  • One group photo, taken before anyone leaves.

Tip: Group photo timing. Take the group photo right after cake. If you wait until the end, half the guests will already be in their cars.

Pack up

Leave 30 minutes at the end. Assign one helper to load gifts, one to pack food, one to collect decor. Bring bins and big bags. Check every room and the yard for phones, chargers and serving dishes before you leave.

Who does what on the day

JobWhenWhat it covers
Lead hostAll dayRuns the clock, talks to vendors, makes calls on the fly
GreeterFirst 30 minutesTakes gifts, points to drinks, makes introductions
Gift notesDuring giftsWrites who gave what, keeps cards with gifts
PhotosThroughoutCandids, food table, the group shot
Pack up crewLast 30 minutesGifts to the car, food packed, decor collected

Write the jobs in the group chat a few days before, and print the run of show on one page for the lead host. If a vendor is late or a game runs long, the lead host decides what to trim, usually the second activity, so cake and the group photo still happen on time.

Keep a small emergency kit near the gift table: safety pins, tape, scissors, a lighter for candles, stain wipes, pain reliever, phone chargers and a few extra pens. It takes ten minutes to pack and saves at least one small crisis every shower.

After the last guest leaves, take ten minutes before pack up to sit down, eat something and look around. Then work room by room with your crew. A clean, calm exit matters for the hosts and for the space, and it is the difference between a relaxed evening and a frantic one. The next morning, send the gift list and your best photos to the guest of honor while the day is still fresh, and thank every helper by name.

Next up: activities, food and drinks.
